Customer support automation
UKIYO AI helps support teams organize requests, retrieve approved information and prepare responses with clear human handoffs. A useful pilot improves resolution quality while keeping uncertain answers and sensitive actions under appropriate review.
Who this is for
Support teams handling recurring questions with a maintained knowledge source and an owner for escalations. Start with a narrow request category whose correct answer and completion conditions can be evaluated.
What we can scope
- Classification and routing of incoming requests.
- Retrieval from agreed, maintained support material.
- Draft responses with source references for agent review.
- Escalation when information is missing, conflicting or outside scope.
- Quality evaluation, feedback and an operating handover.
An illustrative workflow
Request received → category identified → approved information retrieved → response reviewed → issue resolved or escalated.
For example, a routine setup question may have a documented answer. An account-specific dispute may need an authorized person and additional context. The workflow should preserve the conversation and explain why it is escalating. This is a proposed design, not a claim of measured customer outcomes.
How a pilot works
- Select the request category, support channel and authoritative knowledge sources.
- Define acceptable answers, prohibited actions and escalation ownership.
- Build a test set including outdated articles, ambiguous questions and requests outside scope.
- Evaluate answer correctness, source support, handoff quality and unresolved or reopened cases.
- Start with a controlled rollout, review failures and maintain the knowledge source.
Boundaries and integration requirements
The workflow depends on the quality and permissions of its information sources. Customer messages should be treated as input, not as authorization to change system rules or access unrelated records. Refunds, account changes and other sensitive actions require explicitly agreed permissions and approval paths. Channel and helpdesk integrations are confirmed during discovery.
Questions teams ask
Will this replace our support team?
We scope specific tasks and handoffs. The pilot establishes which work can be assisted reliably and where human judgment remains necessary. Staffing outcomes cannot be inferred from automation volume alone.
Can it answer directly to customers?
That depends on the approved scope and evaluation results. A reviewed-draft workflow provides a controlled starting point. Any direct-response rollout should have clear limits, escalation and monitoring.
How do we avoid hiding unresolved tickets?
Track actual resolution, reopened cases, handoff completion and customer feedback alongside response time. A closed ticket or generated answer alone is not evidence that the issue was solved.
